Finally found a management tools that I could install at the workplace and get up and running fast. I was able to create users for each member of the office (only 4, but not computer inclined).

Within 2 days I managed to move all of our projects online and I force communication through the interface, so all information and requests get filtered into the appropriate area. I placed pictures on all projects so that they are readily available and now there is easy access and immediate recognition when discussing each project.

Linking it to the sunrise calendar is great and the ability to label tasks to catch the eye at the right time is awesome.

It is a well thought out interface and I recommend it for any small size company.
